Data collection and processing

Every access to our website and every retrieval of a file stored on the website is logged. The storage serves internal system-related and statistical purposes.

To be logged:

  • Name of the retrieved file,
  • Date and time of retrieval,
  • volume of data transferred,
  • Message about successful retrieval,
  • operating system used,
  • Browser and browser type,
  • the Internet page from which was redirected,

Web conferencing tools

We want to make communication with prospects, customers and users easier and adapted to the current technical and practical reality. Therefore, we use conferencing tools for video and audio conferencing. You can find out which individual web conferencing tools we use in the following §.

As a rule, data is first collected that represents metadata and technical data of the users and the conferences. Metadata includes, for example, the duration of the conference, the period of participation, the number of participants or the name and/or description of the meeting. Technical data are such as the IP addresses and device as well as hardware information of the participants, such as MAC addresses, device and operating systems or information about peripheral devices and connection quality. In the case of optional participation via a cell phone, further data may be stored in addition to the telephone number. In addition, the data collected includes all data that you provide for the use of the service (in some cases also optionally). The usual data here are the name, telephone number, e-mail address and other log and profile data.

During a meeting in a web conferencing tool, video and audio data recorded by your microphone/camera, as well as any content that can be uploaded (messages in chats, surveys or similar, as well as other files such as presentation documents) can be processed, logged or displayed. When optionally using the recording function of web conferences, this data can be stored permanently, also on servers of service providers.

However, we would like to point out that we generally have no influence on what data is collected. Accordingly, failure to provide the aforementioned data may mean that it is not possible for you to participate in the web conference. Automated decision-making will not be undertaken. Details on the processing of data by the services concerned can be found in the data protection notices of the respective services, which are designated in the following §.

We use the web conferencing tools to communicate with you in a simple, effective and direct way. The legal basis for this is our legitimate interest pursuant to Art. 6 (1) (1) lit. f) GDPR. In the case of an existing contractual relationship, the use of such a service serves the purpose of providing a service, for which the legal basis of the processing is Art. 6 (1) (1) lit. b) GDPR. The same legal basis arises for the registration as well as the participation in an online webinar offered by us. We have no influence on the storage period of the data stored by the service providers for their own purposes. Cookies stored by you remain on your terminal device until you delete them.

Zoom

We use the web conferencing tool Zoom. This is an application of Zoom Communications Inc. (55 Almaden Boulevard, 6th Floor, San Jose, CA 95113, USA; hereinafter: “Zoom”).

Personal data is processed when you use “Zoom”. The scope of the data depends on the information you provide before or during participation in an “online meeting”.

The following personal data are subject to processing:

User details: first name, last name, phone (optional), e-mail address (optional), password (if “Single-Sign-On” is not used).

Meeting metadata: Topic, description (optional), attendee IP addresses, device/hardware information (operating system, microphone, speakers, camera), location, connection data (location, data center, network type, connection type).

For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of online meeting chat.

When dialing in with the telephone: information on the incoming and outgoing call number, country name, start and end time, if necessary further connection data such as the IP address of the device can be stored.

Text, audio and video data: You may have the option of using the chat, question or survey functions in an “online meeting”. To this extent, the text entries you make are processed in order to display them in the “online meeting” and, if necessary, to log them. To enable the display of video and the playback of audio, the data from the microphone of your terminal device and from any video camera of the terminal device will be processed accordingly for the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time via the “Zoom” applications.

To participate in an “online meeting” or to enter the “meeting room”, you must at least provide information about your name.

We use “Zoom” to conduct the online meeting. If we want to record the online meeting, we will transparently tell you in advance. The fact of recording will also be displayed to you in the “Zoom” app.

If necessary for the purposes of logging the results of the online meeting, we will log the chat content.

If you are registered as a user at “Zoom”, then reports on “Online Meetings” (meeting metadata, phone dial-in data, survey function) can be stored at “Zoom” for up to one month.

The option of software-based “attention monitoring” (“attention mode”) that exists in “Online Meeting” tools such as “Zoom” is deactivated.

The personal data you provide will be collected and processed exclusively for the purpose of conducting the online meeting within the framework of a contractual relationship pursuant to Art. 6 (1) (1) lit. b) GDPR. If no contractual relationship exists, the legal basis is Art. 6 (1) (1) lit. f) GDPR. Our interest here is the effective implementation of online meetings.

The provision of your personal data is necessary for the implementation of the online meeting. If you do not provide it, you will unfortunately not be able to participate. Automated decision-making will not be carried out.

Personal data processed in connection with the online meeting will not be disclosed to third parties as a matter of principle, unless they are specifically intended to be disclosed.

Other recipients: The provider of “Zoom” necessarily obtains knowledge of the above data to the extent provided for in our order processing agreement with “Zoom”.

A transfer of your personal data to a third country or to an international organization takes place to the extent that your personal data is forwarded to Zoom Video Communications Inc. in the USA. “Zoom” is a service provided by a provider from the USA. Processing of personal data therefore also takes place in a third country.

Webex

To conduct video conferences, we also use software from the provider Webex by Cisco (771 Alder Dr, Milpitas, USA; hereinafter: “Webex”).

As a rule, Webex collects the name and email address of users, meeting data such as the topic and description, IP addresses of participants, device and hardware information of participants, in the case of recordings, all video and audio recordings, and a text file of online meeting chats. If users dial into Webex by phone, the provider stores the phone number, country and, if applicable, connection data such as the IP address of the device.

The personal data you provide will be collected and processed exclusively for the purpose of conducting external and internal video conferences within the framework of a contractual relationship pursuant to Art. 6 (1) (1) lit. b) GDPR.
