Web conferencing tools
We want to make communication with prospects, customers and users easier and adapted to the current technical and practical reality. Therefore, we use conferencing tools for video and audio conferencing. You can find out which individual web conferencing tools we use in the following §.
As a rule, data is first collected that represents metadata and technical data of the users and the conferences. Metadata includes, for example, the duration of the conference, the period of participation, the number of participants or the name and/or description of the meeting. Technical data are such as the IP addresses and device as well as hardware information of the participants, such as MAC addresses, device and operating systems or information about peripheral devices and connection quality. In the case of optional participation via a cell phone, further data may be stored in addition to the telephone number. In addition, the data collected includes all data that you provide for the use of the service (in some cases also optionally). The usual data here are the name, telephone number, e-mail address and other log and profile data.
During a meeting in a web conferencing tool, video and audio data recorded by your microphone/camera, as well as any content that can be uploaded (messages in chats, surveys or similar, as well as other files such as presentation documents) can be processed, logged or displayed. When optionally using the recording function of web conferences, this data can be stored permanently, also on servers of service providers.
However, we would like to point out that we generally have no influence on what data is collected. Zoom
We use the web conferencing tool Zoom. This is an application of Zoom Communications Inc. (55 Almaden Boulevard, 6th Floor, San Jose, CA 95113, USA; hereinafter: “Zoom”).
Personal data is processed when you use “Zoom”. The scope of the data depends on the information you provide before or during participation in an “online meeting”.
The following personal data are subject to processing:
User details: first name, last name, phone (optional), e-mail address (optional), password (if “Single-Sign-On” is not used).
Meeting metadata: Topic, description (optional), attendee IP addresses, device/hardware information (operating system, microphone, speakers, camera), location, connection data (location, data center, network type, connection type).
For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text file of online meeting chat.
When dialing in with the telephone: information on the incoming and outgoing call number, country name, start and end time, if necessary further connection data such as the IP address of the device can be stored.
Text, audio and video data: You may have the option of using the chat, question or survey functions in an “online meeting”. To this extent, the text entries you make are processed in order to display them in the “online meeting” and, if necessary, to log them. To enable the display of video and the playback of audio, the data from the microphone of your terminal device and from any video camera of the terminal device will be processed accordingly for the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time via the “Zoom” applications.
